We are currently recruiting for an exceptional candidate to join our Litigation Department primarily in the areas of professional liability defence, and commercial litigation. We are looking for someone to work in a Law Clerk / Legal Assistant hybrid position. We are seeking someone who takes initiative, is a proactive problem solver, self-motivated, highly organized, responsive and adaptable. Law Clerk Responsibilities:
- Draft, compile, serve and file pleadings, routine motions, pre-trial and mediation memoranda, judgments, orders, affidavits of documents, etc. in accordance with the Rules of Civil Procedure and relevant practice directions.
- Draft, and compile Affidavits of Documents and Productions Briefs, including analyzing relevance and obtaining documents from clients.
- Review and summarize transcripts of examinations and isolating undertakings and refusals and assembling answers to undertakings.
- Perfect appeals: Compile appeal book & compendiums, factums, & books of authorities.
- Draft and prepare bill of costs and cost outlines.
- Keep apprised of updates to Practice Directions and Notices to Professions for Toronto, Brampton and Newmarket.
- Complete corporate, business name, bankruptcy, PPSA, Bank Act and execution searches.
- Trial preparation including preparation of document briefs, drafting notices pursuant to the Evidence Act.
Legal Assistant Responsibilities
- Perform a variety of legal and administrative duties under lawyer supervision, including diarizing deadlines, filings, scheduling meetings and court attendances if applicable, assist with travel arrangements, conference calls, preparing correspondence, and communicating with clients, court staff and counsel.
- Open and maintain files, calendars and bring forwards, prepare routine correspondence, arrange meetings, schedule discoveries and book court appointments.
- Organize and maintain files on the firm’s Document Management System (DMS) and ensure all correspondence and documents are saved in same.
- Perform dicta-typing and revise documents, applying excellent proofreading and editing skills.
- Organize and maintain complex files.
- Prepare standard form letters to clients.
- Communicate and file documents with administrative tribunals.
- Arrange for service of documents with external process servers.
- Obtain information & instructions from clients & forward them to the lawyer.
- Co-ordinate and monitor administrative functions to ensure all work is completed in an accurate and timely manner.
- Keep track of and submit lawyers’ expenses.
- Other duties as assigned.
Qualifications
- Law Clerk diploma or equivalent ILCO certification.
- Minimum of 2 years’ experience as a Litigation Legal Assistant
- Minimum of 1 years’ experience as a Litigation Law Clerk or in a position where Litigation Law Clerk duties were an integral part of the role.
- Experience with ProLaw accounting system required.
- Experience with third-party portals to enter dockets and help run monthly accounts if required.
- Exceptional attention to detail and production of clean quality work.
- Strong knowledge and experience using Case Centre.
- Strong current and practical knowledge of Ontario Rules of Civil Procedure.
- Experience with Court of Appeal and Divisional Court.
- Experience with the Commercial List and the License Appeal Tribunals is an asset.
- Experience with LawPro’s OMS is an asset.
- Proficiency with Microsoft Suite.
